Submitting Names to the Temple

Legacy institutes a step-by-step procedure for temple ordinance submission that allows you to easily and accurately track them. The process involves:

  • Selection of individuals and families for submission.
  • Exporting the appropriate records to a TempleReady Submission File. This step also marks all the submitted individuals and families with the word "Submitted" and the submission date in all ordinance date fields.
  • The resulting TempleReady Submission File is then taken to a Family History Center where it is run through the TempleReady program to determine if the ordinances can be done. This procedure produces a Temple Submission File that is taken to the temple, and a backup file.
  • The Temple Submission File, or the backup file, is then read by Legacy, which marks the actually cleared ordinance dates with the word "Cleared" and the date.
  • The word "Submitted" (and the date) is then cleared from all the ordinance date fields that were not marked "Cleared"-date in step 4. This allows them to be submitted again in the future when more information is acquired.
  • The resulting printed report from the TempleReady program tells you which ordinances were cleared, which were already done, and which were not cleared. You can use this report to fill in the ordinance dates and temples of those records where the temple work has been completed. You can also use the report to see what information is needed in order to clear the uncleared names in the future.

Creating a TempleReady Submission File

To create a TempleReady Submission File choose TempleReady / Create TempleReady Submission File from the File menu. The TempleReady Submission Group window appears. From this window you can select individuals, families and entire lines of ancestors and descendants to include in the submission file.

The process of creating a TempleReady Submission File is the same as building a Focus Group.

Marking Records As Submitted

When you export names that you want to submit to have their temple work done, you should mark them so you know who was sent and so that you don't submit them again in the future inadvertently. It is suggested that you place the word "Submitted", along with the current date, in all the ordinance date fields for each individual and marriage you export. Legacy has instituted a submission process that involves this marking step along with reading the actual Temple Submission File created by TempleReady after you run the name through it. This lets you mark the actual ordinances that were cleared to be done.

  • Select the Mark each ordinance date with: option button if you want to mark the records being exported.
  • Make sure the word and date you want are in the text boxes. It is suggested that you use the word "Submitted" along with the date you are doing the export.
  • Press Continue to proceed with the export.

Reading the Temple Submission File

A Temple Submission File contains the names of individuals and families that have one or more ordinances cleared for temple work. It is created by the TempleReady program at a meeting house of the Church of Jesus Christ of Latter-day Saints. Legacy reads this file, (or the backup file that was offered) and marks the ordinance dates as "Cleared" so you will know that they have been actually submitted to the temple and so they won't be submitted again by mistake.

To read a Temple Submission File:

  • Choose TempleReady / Read Temple Submission File from the File menu.
  • Select the Temple Submission File you want to read. This will have either a ".SUB" or ".BAC" file extension.
  • Legacy scans through the file and shows you when it was created and how many of each type of ordinance it contains.
  • Type the entry you would like to make in the cleared ordinance date fields. It is suggested that you put the word "Cleared" and the date (the date taken from the Temple Submission File). Be sure the Include Date checkbox is checked to include the date.
  • Press Read the File. Legacy reads in the Temple Submission File and places the specified marking in all the cleared ordinance date fields for the individuals and families contained in the file.

Legacy checks to make sure you are reading a Temple Submission File that matches the current Family File. If the names, RINs and marriage dates don't match exactly, Legacy prompts you for permission to continue.

Using the TempleReady Report

The TempleReady Report of Names Submitted for Temple Ordinance Work is produced at the end of the process of name submittal through the TempleReady program in a meeting house of the Church of Jesus Christ of Latter-day Saints. The report contains the names of all individuals submitted in the TempleReady Submission File. Each name includes a list of appropriate ordinances and their status. The status can be:

  • Ready The ordinance is ready to be done at the temple.
  • Not ready There is not enough information for the ordinance to be done. The reason or reasons are given in the report. This is usually due to a missing date, place or name.
  • Done The ordinance has already been performed. The date and temple where the ordinance was performed is included.
  • Not being submitted The ordinance was not being considered for completion. For example, if an individual's parents are not included in the TempleReady Submission File, the Seal to Parents ordinance for that individual is not considered for clearing. Another reason is that the TempleReady Submission File shows that the ordinance has already been performed.
  • Already Listed The ordinance was listed previously in the report.
  • Living It could not be determined with surety that this person was dead for more than one year.
  • Skipped TempleReady was not able to search a needed region of the world at this time. The name should be submitted again at a later time when this region is available.

Names and locations in the report that are enclosed in brackets <> have been approximated by the computer. For example: <1845>

There is a submission summary at the end of the report showing the total number of each type of ordinance cleared.

You should transfer the date and temple information for all individuals with an ordinance status of Done to your Family File. Search for each name or look in the Name List and then type the information into the appropriate ordinance date and temple field. This records the ordinance completion for your information and also prevents them from being re-submitted in the future.

Search and Clear

The Search and Clear feature is used as the final step in a temple ordinance submission batch. It is done after the Temple Submission File has been read by Legacy to mark the actual individual ordinances that were cleared.

When the Search and Clear window appears, it contains all non-date entries in ordinance date fields. These are usually entries like "Submitted" or "Submitted [date]" or "Cleared." If you would like to limit the list to just entries that begin with the word "Submitted", check the box at the bottom of the list that says, "Show only 'Submitted*' entries in Ordinance Date fields."

To continue with the Search and Clear procedure:

  • Select the entry you want to clear by clicking on it in the list.
  • Press Search/Clear Selected Item to begin the clearing process. Legacy then clears the contents of all ordinance date fields that match the selected entry.

Marking Cleared Submissions

This procedure is the desired final step when submitting names to the temple. When you selected individuals and families to submit, you did not know if they would all be approved until you ran them through the TempleReady program at a Family History Center. Sometimes, needed dates and locations are missing. Sometimes, the ordinances have already been done by someone else. The resulting Temple Submission File, created by the TempleReady program, contains the actual, cleared names. These are the ones that you will want to leave marked as "Cleared" in your Legacy Family File, not everyone you originally tried to submit.

If you continue with this procedure, you will be prompted for the Temple Submission File created by TempleReady. This is the actual file that will be sent or taken to the temple, (or a backup copy of the file). Legacy will then read the file and place the word "Cleared" along with the current date, into the appropriate ordinance date fields. This way, only the individuals that have actually been cleared for submission are marked as "Cleared."

TempleReady Submission File

The TempleReady Submission File is created by Legacy. It is a special GEDCOM file containing the individuals and families that are to be considered for temple ordinance work. This file is taken to a Family History Center in a meeting house of the Church of Jesus Christ of Latter-day Saints and is run through the TempleReady program to see which names qualify for temple submission.
